deposit & payment schedule

Reservation & Payment Schedule

To confirm your reservation with Exploring Earth Together, a deposit is required at the time of booking. Payment timelines vary based on how far in advance you book and the season of travel.

 

We work closely with boutique eco-lodges and resorts across Belize, many of which have limited availability and firm cancellation windows. Our payment structure reflects these realities while offering flexibility for early planners.

Peak Season Policy

(Applies to travel in December, January, February, and March)

Due to limited availability and early sellouts during peak season, the deposit and payment schedule is as follows:

  • Booking more than 6 months in advance

    • 20% deposit at time of booking

    • 40% due 150 days before departure

    • Final 40% due 90 days before departure

  • Booking 3–6 months in advance

    • 60% deposit at time of booking

    • Final 40% due 60 days before departure

  • Booking within 90 days of departure

    • Full payment due at time of booking

We understand that plans can change. Our cancellation policy is designed to be as flexible as possible while considering the commitments made to our partners.​

  • 61-90 days before departure: 25% of the total program price is non-refundable

  • 31-60 days before departure: 50% of the total program price is non-refundable

  • 30 days or fewer before departure: 100% of the total program price is non-refundable

Please note: Additional cancellation fees may apply for select accommodations, exclusive use of venues, or travel during holiday or festival seasons.

Additional Terms & Conditions Travel Insurance We strongly recommend purchasing comprehensive travel insurance that includes coverage for trip cancellation, medical expenses, baggage loss, and travel delays. Exploring Earth Together is not responsible for costs incurred due to personal health issues, natural disasters, airline disruptions, or other circumstances beyond our control. Responsibility & Liability Exploring Earth Together acts as an intermediary between our guests and accommodations, transport providers, and local tour operators. While we work with trusted partners, we are not liable for personal injury, property damage, or loss resulting from their actions or from unforeseen events. Participation in all activities is voluntary and at your own risk. Guests are responsible for assessing their physical abilities and comfort level with each activity. Guest Requirements & Health Disclosure Guests must inform us of any medical conditions, mobility concerns, or dietary restrictions at the time of booking. We will do our best to accommodate individual needs, but cannot guarantee that all activities or accommodations will be suitable in every case. Changes by the Guest Requests to change or transfer your reservation must be submitted in writing and are subject to availability and any costs incurred as a result of the change. Within 60 days of departure, changes may be treated as cancellations and are subject to the cancellation policy. Changes by Exploring Earth Together While we make every effort to deliver the itinerary as described, we reserve the right to make adjustments due to weather, availability, or other conditions outside our control. In the rare event that we must cancel a tour, guests will receive a full refund of all payments made, which constitutes full settlement. Force Majeure Exploring Earth Together is not liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to: natural disasters, acts of God, travel bans, government regulations, or airline disruptions. Photography & Media Consent By participating in a tour with Exploring Earth Together, you consent to the use of any photographs or videos taken during the trip for promotional purposes, unless you notify us in writing before the tour begins. Governing Law These Terms & Conditions are governed by the laws of the State of Alaska, USA.
